JOB SUMMARY

The Office Coordinator (apprenticeship/work-study) supports the Paris Facility Management team by coordinating daily office services, ensuring safety, compliance, and a positive employee experience. The role involves hands-on responsibilities in soft services, office security, onboarding, and vendor coordination, requiring adaptability and teamwork.

 

 

ABOUT THE ROLE

 

Services & Operations coordination

  • Serve as the main contact for soft service vendors, ensuring compliance with contracts and SLAs.
  • Oversee routine checks for health, safety, and service quality.
  • Manage office supplies and organize mail and shipments, following up on any incidents.

 

Access control / Physical Office Security

  • Manage access badges for all personnel and visitors, coordinate with building and canteen managers for access needs, track requests to completion, and keep accurate security records.


Finance & Budget

  • Assist in managing office budget for soft services and monitor spending to ensure cost-effectiveness.
  • Check invoices and allocate costs before approval by the Head of FM.

 

Administrative Support

  • Handle employee queries via FM team email.
  • Maintain accurate facility records, and track soft service incidents from report to resolution, offering suggestions for improvement.


Health & Safety

  • Perform regular office checks to maintain cleanliness and functionality.
  • Keep mailroom and equipment areas tidy, and promptly report any issues.

 

Additional responsibilities

  • Assist in planning and executing company projects, ensuring administrative facilities-related needs are met.
  • Assist with sustainability initiatives, company projects and events
  • Support Business Continuity Plan efforts as needed for facilities/office-related topics.
  • Ensure all activities comply with company policies and local regulations.
  • All other duties & tasks as reasonably requested by your manager.

 

 

ABOUT YOU

 

  • Proficient in Microsoft 365 core applications and collaborative platforms; comfortable using Generative AI tools (Copilot).
  • Basic knowledge of health and safety regulations and compliance requirements.
  • Basic math skills, including the ability to accurately perform basic calculations such as percentages, discounts and increases.
  • Collaborate with the Paris Facilities Senior Assistant to ensure seamless mission transitions and avoid any disruptions during days off.
  • Attention to detail and commitment to service quality.
  • Strong communication and interpersonal skills with an inquisitive mindset: ability to effectively liaise with employees, contractors and management.
  • Problem-solving: address issues related to service disruptions or employee concerns efficiently.
  • Confidentiality: uphold a high level of confidentiality in all tasks and interactions.
  • Organization skills: proactive “can do/will do” attitude combined with the ability to prioritize effectively and manage multiple tasks.
  • Team spirit: support colleagues and foster a positive team environment.
  • Fluent in French with professional proficiency in English (international environment); knowledge of an additional.
  • “Alternance” (work/student profile)
  • Currently enrolled in a work‑study / apprenticeship program (France), Bac+2 to Bac+5 in Workplace/Facilities/Real Estate/Business or equivalent.
