Main mission

 

Perform & coordinate all activities related to workforce administration and payroll management, on due time, for our Paris office (236 employees) and Strasbourg office (26 employees). You will report to the HR Geo Partner France and will work in relation with an other HR Specialist on the same area.

 

 

Payroll Management

 

  • Establish and control all elements related to the payroll including complex payroll
  • Enter all variable elements into SuccessFactors & SAP Payroll to produce the monthly payroll
  • Enter all data related to the new hires and/ or departures of collaborators
  • Ensure the smooth functioning of the monthly payroll operations
  • Produce the monthly payroll verification file and coordinate the relevant controls with the HR Geo Partner France
  • Establish and check the various periodic declarations (DSN) intended for the administrations and keep the mandatory registers up to date
  • Payment of contributions to various organizations
  • Participate in the implementation of changes to HRIS tools (SuccessFactors/ SAP Payroll), particularly in the context of legal compliance or the continuous improvement of our tools.
  • Interactions with the accounting department for reconciliation of accounting accounts.

 

 

Workforce Administration Management

 

  • Ensure the management of formalities related to the hiring and integration of new employees (DPAE, Personnel file, background checks, visa/ work permit, data entries in SuccessFactors/ SAP Payroll)
  • Establish the documents relating to the termination of the employment contract (Time account balance, Work certificate, …) and proceed with settlement indemnity or other indemnity payment
  • Preparation of regulatory documents related to personnel management: preparation of employment contracts, contract addendum and certificates
  • Ensure the interface between employees and all external organizations (Health benefit, Retirement & pension funds, …) 
  • Guarantee the follow-up of affiliations and deregistration from the health insurance company
  • Inform and advise employees and managers on all questions relating to the employee workforce administration
  • Coordinate the follow-up of medical visits with the CIAMT (recruitment, recovery, periodic visit, annual declarations)
  • Ensure the development and maintenance of social dashboards to monitor staff activity: entries & exits, absenteeism, compensation, leave, work accidents, etc.
  • Guarantee the follow-up of employee absences (RTT and others) and operate the controls of the rights allocated at the beginning of the year
  • Maintain the individual employee administrative files (paper and electronic, PeopleDoc system)
  • Proceed to the archiving and dematerialization of the administrative documents
  • Participate in local and/ or global projects

 

 

Key expectations

 

  • A minimum of 3 years of experience in workforce administration and payroll management areas
  • Basic knowledge on social & labor law (related to Payroll & Administration)
  • Good expertise on HRIS systems: SuccessFactors and/ or SAP Payroll
  • In-depth knowledge of office tools (Office 365): Excel, Word, Powerpoint
  • Ability to manage several subjects and interlocutors in parallel, and to work in a dynamic and matrix environment
  • Good English working knowledge (read/ written/ spoken)
  • Sense of customer service and collaborative mindset
  • Rigor / Organization / Autonomy / Proactivity / Adaptability / Team spirit
  • Discretion
